I’ve been a freelance illustrator for about three years, and I’m starting to get steady work, but I’m completely overwhelmed by the admin side. I spent more time last week chasing invoices, updating my project tracker, and sorting receipts than I did actually drawing. How do other creatives handle this without burning out or letting the business stuff eat into creative time?

Block out a tiny admin hour, twice a week, and pretend it’s non negotiable. I started with 60 minutes to chase invoices, then another 30 to file receipts, and I stuck to it for a month. It sounds dumb, but it kept the studio from getting pulled into the paperwork vortex. I use one simple system for invoicing and receipts, and I keep a single folder for everything. On drawing days I don’t even open the accounting app unless I’m scheduled to.

I tried hiring a part time assistant for Mondays for a couple of hours to handle invoicing and tax receipts. It cut my admin hours by more than half, but the cost was a little painful at first. We set up templates and a handoff checklist, and I still review things, but the back-and-forth with clients is easier because the admin side is predictable. It felt weird to admit I needed help, but the relief was real.

Sometimes I wonder if the problem isn’t the admin itself but the way projects are scoped. I got into a rhythm of sending a weekly recap email that clearly lists milestones, invoices, and upcoming approvals. It reduced last minute chasing, but it also reminded me that I could say no to work that would balloon admin time. Still not perfect, and some weeks I drowned anyway.
