What tools help remote teams stay aligned without extra meetings?

We’re hitting a wall with our current project management system now that we have three new remote teams. The communication overhead is eating into the time we need for actual development work, and I’m worried our process won’t hold up as we add more people. Has anyone found a specific method or tool that helped them maintain clarity and accountability without creating more meetings?

We ditched heavy rituals and went async with a simple Kanban board that has WIP limits and clear owners. Each card shows what is done, what is next, and blockers. Then we instituted a fifteen minute weekly alignment and a shared status note posted in our chat. A couple sprints in, meetings shrunk and we kept progress visible, but it took time to tune the definitions of done and who owns what.

We built a lightweight async update flow a single weekly form what I did yesterday what I will do today blockers that feeds a living page. A little bot posts summaries to the channel and the PM pulls the digest. It felt weird at first but we saved a few hours a week and nobody could claim they did not know the plan anymore.

Is the problem the process or the people We chased a tool and a template but the real win came when one person acted as friction resolver for a couple of weeks and helped retire blockers Not sure if that was the real fix or just a bandaid

One more thing I tried that helped for us but it is small we started with a tool and it felt like busywork then someone suggested just a one line daily update in a channel across time zones It kept everyone in the loop without meetings We also defined a definition of done for cross team work to stop scope creep
