What’s the best way to decide between pm software and spreadsheets?
#1
I’m trying to decide if our small team should invest in a dedicated project management software or if we should just keep using a combination of spreadsheets and shared drives. The main thing holding me back is whether the cost and learning curve will actually translate into better tracking and accountability, or if it will just become another complicated tool we barely use.

We kicked off with a trial of a PM tool for two sprints. It helped us see blockers in one place, but adoption was spotty and a few folks just kept emailing updates.

We stuck with spreadsheets for a year, then switched to a lightweight PM tool. It did improve visibility when someone updated it daily, but the learning curve killed momentum.

I worry the real issue isn't tools but how we set expectations. If folks don't update, nothing changes.

Do you actually need cross team dependencies tracked or are most tasks independent?

We tried both and ended up with a hybrid, but the cost kept creeping and we still emailed statuses.

We measured velocity and it barely moved after we added a tool; everyone complained about data entry.

I started thinking maybe it’s the culture more than the system; we once simplified naming conventions for files and suddenly it helped, not the tool.
