What note-taking app best handles both meeting notes and project outlines?

I’ve been trying to find a good note-taking app that can handle both my meeting notes and personal project outlines, but everything feels either too simple or overly complicated. I’m curious if anyone has found a tool that strikes a good balance for organizing scattered thoughts without getting in the way.

I used Notion for both meetings and outlines for a while, and it wore me down. Meeting notes felt heavy and the project outlines started getting buried. I ended up using a lightweight markdown app for quick notes and a simple folder structure for outlines; it helped with search, but I still felt the connections slipping.

Obsidian helped me get a cleaner balance. I kept to a few linked notes and a Today page where I drop quick bullets from meetings. The trick was not overbuilding a template and letting tags do the organizing.

Maybe the real issue isn’t the app at all. If I don’t have a habit of jotting a few bullets during the meeting, the notes feel useless later. It’s hard to know if the tool is the blocker or my workflow.

I tried a tool that promised balance, but I felt rushed and lost where to put things. I ended up bouncing back to emails and plain text files, which is frustrating but honest about what I actually used.
