What's the best way to connect a no-code workflow tool to an inventory system?

I’ve been using a visual workflow builder for my team’s internal approvals, but I’m hitting a wall because our process needs to check a live inventory database before it can proceed. I’m not sure if I need to find a platform with deeper database integration or if I should try to connect my current tool to an external API, but I don’t know how to do that without writing code myself.

We ended up chasing an API access to our inventory DB and a no‑code connector that can do live checks. It helped a bit but added latency and permission headaches. If you truly need live data, go for a platform with deeper database integration or wire it to an external service, otherwise you’ll end up with stale information.

I tried to keep the current tool and add a manual step where someone checked stock in chat and then clicked approve. It slowed things down and felt flaky.

We looked at external services that can query the DB directly, but security reviews and rate limits killed the plan. I started to doubt whether the real issue is the tool or the data pipeline.

First the UI tweaks felt nice, a color change and a bigger confirm button, but then I drifted back to the core problem and wondered if the bottleneck is data freshness rather than the workflow tool. Do you think the real bottleneck is data freshness or the approval queue?
